This position serves as Zoning and Building Assistant for the Madison County Planning Department, responsible for aiding the Planning and Zoning Administrator along with other staff members of the Madison County Planning Department.
General Duties and
Responsibilities:
The general duties and responsibilities of the Zoning and Building Assistant can include but are not limited to the following activities:
Supports zoning, platting, permits and petitions.
Helps prepare minutes, facilitate video presentations at public meetings Assists in preparing permit, petitions, and plat folders for review.
Assists Planning & Zoning Administrator with problem plats.
Maintains and schedules inspections.
Maintains department webpage on the Madison County Website.
Maintains and uploads board minutes, agendas, and meeting times to the Department webpage.
Answers the phone, greets office visitors, directs visitors accordingly, and resolves routine questions and problems.
Communicates with co-workers and the public on zoning ordinances and variances.
Responds to citizen inquiries regarding planning and zoning issues; explains and interprets applicable rules and regulations; and reads and interprets zoning maps and aerials.
Inputs Building Permits and Petitions into database.
Ensures permits and plats are in order, including site plans and blueprints.
Enters findings into the Department database for all permits approved or denied and any inspection information.
Attends educational and technical courses regarding software and miscellaneous topics.
Produces letters, reports, and related documents for the Department.
Performs various clerical duties including faxing, copying, collating, filing and distributing documents, entering data into systems, retrieving files or information from manual and automatic files, and composing and typing correspondence.
Scans Building Permit folders and Petitions into the system for future reference.
Periodically performs duties of co-workers and performs related duties as assigned.
Performs special projects and other duties as assigned by the Planning Director.
Attends all trainings and meetings as required.
This position requires occasional minimal lifting with occasional standing, bending, and carrying.
This position will be subject to all the rules, policies, and operating procedures established by the County, as they may be amended from time to time.
Job Requirements:
High School Diploma, GED or associate degree.
Bachelor's degree preferred.
Working knowledge of zoning and land development processes is desired.
Working knowledge of standard office procedures and routines and ability to apply knowledge to a series of inter-related and standardized operations and tasks.
Ability to comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to operate standard office equipment, including computer, printer, transcriber/Dictaphone, copier, and telephone.
Experience utilizing Microsoft Office, primarily Word and Excel.
Ability to compute and perform arithmetic operations, including figuring and calculating building Permit fees, and square footage amounts.
Ability to compile, collate, or classify data.
Ability to work independently.
Ability to work with others in a team environment.
Ability to understand and follow oral or written instructions and use Standard English grammar including spelling, pronunciation and speaking clearly.
Ability to understand and carry out oral instructions and memorize and retain instructions.
Ability to write and edit reports, and type with speed and accuracy.
Ability to effectively communicate with co-workers, surveyors, elected officials, other County Department personnel, and members of the public in a courteous and tactful manner.
